Office & Facilities Coordinator
About the role
We are growing rapidly, and we're looking for an Office & Facilities Coordinator to manage our New York & San Francisco offices, providing a delightful and smooth experience for the Runway team. This role requires a high level of ownership and the ability to work in a fast-paced environment. We're looking for someone to be in our New York office full-time, 5 days a week, with the ability to travel to San Francisco at least 1 time a quarter.
What you’ll do
Be a host and welcome our employees and guests to the office while working with security to ensure a safe and professional environment
Coordinate lunch, restock our in-house pantry, and overall ensure a well-stocked and clean kitchen
General office upkeep such as kitchen devices (coffee machines, water filters), conference room tech, printers, and taking care of our many office plants
Work closely with building vendors, including security, landlord, daily janitorial services, and extended facilities teams to ensure employees experience a smooth work environment
Address any facility or workplace issues (elevator down, restroom flood, refrigerator not cooling, etc) promptly, including engaging the correct vendor to address the issue
Coordinate with other vendors (catering, maintenance, event staff, etc.), escorting, and directing contractors who are here to do one-off and recurring tasks to ensure compliance with our policies
Coordinate office moves, office tech accessories (e.g. monitors for employees or printers), and furniture requests and configurations as needed
Provide support for events, meetings, and emergency response, as well as manage maintenance and repair requests, helping us stay compliant with local codes
Partner closely with People and Employee Experience team to further develop office culture, norms, and in-person interactions
Oversee our mailing system, including Amazon deliveries, shipping needs, larger office supplies, staff and priority mail, and tracking delivery requests and returns
Remotely manage our San Francisco office and other remote co-working spaces
What you’ll need
Prior experience in facilities coordination and building operations, ideally 3+ years
Working knowledge of facilities-related systems, equipment, and infrastructure with the ability to supervise maintenance, repairs, and services
Up-to-date knowledge of technological, regulatory, security, and workplace trends related to facilities management
A service and solution-based mindset/internal customer orientation, and are excited to take on essential but behind-the-scenes tasks to help our teams do impactful work
Enjoy rolling up your sleeves and handling day-to-day tasks as they arise–no task is too big or too small
Excellent organizational skills, strong communication abilities (both verbal and written) and ability to multitask
Strong candidates may also:
Have prior experience with vendor management, food and beverage service, and hospitality
Be interested in artificial intelligence and care that it is developed safely and beneficially
Be familiar with managing permit, license, and inspection requirements, ensuring facilities meet all mandated regulations
Enjoy juggling multiple projects, especially in a fast-paced and dynamic startup environment

The range shared below is a general expectation for the function as posted, but we are also open to considering candidates who may be more or less experienced than outlined in the job description. In this case, we will communicate any updates in the expected salary range.
Lastly, the provided range is the expected salary for candidates in the U.S. Outside of those regions, there may be a change in the range, which again, will be communicated to candidates.
Salary range: $65,000-$90,000
